Submission Guidelines

First stage

Deadline for submission of photographic images of your work: Tuesday 30th June 2009
DO NOT SEND ACTUAL FINISHED PIECES OF WORK AT THIS STAGE

Photographic Images:
Ensure that the image shows as much of the overall embroidery as possible without 'arty' distortion!
Do not take very close up images and do not split images into multiple frames.
Ask for help. Have it done by professionnal photographers. For students this is your opportunity to build relations with the photography department of your Institution. We shall give them a credit for any image used.

Each entrant is limited in the first stage to not more than 1 of the following:

1. Transparencies
- 5 x 35mm transparencies.
- For transparencies and CD Roms, post to:

2. CD Rom
- CD rom of 5 x jpeg images.
- When saving your files for CD or for e-mail, please use the following naming convention: jo_smith001.jpg ( firstname_lastname001.jpg firstname_lastname002.jpg and so on ).

3. J-peg Images
- 5 x j-peg images to be mailed comp@handembroidery.com
- Each j-peg should be 1600 x 1200 pixels or similar proportion in resolution.
- We will not accept any other format than j-peg.
- You must include your name and candidate number on the accompanying email.

  • In all cases please include images of at least 3 pictures of finished work and 2 of supporting embroidery samples/or development.
  • Proof of posting is not accepted as proof of entry.
  • We are unable to return images on Transparencies or CDs unless submitted with a (SAE) stamped addressed envelope.

Second stage

You will be notified by email if selected for second stage by the July 17th 2009. It is therefore your responsibility to monitor your emails.

Deadline for final submission of 2nd Stage work: Monday 17th August 2009

  • You will be required to submit your actual finished work and all its support material at this stage. All work must securely carry your name, contact telephone, email and college details (where applicable, for the student category).
  • Provide an Artist's Statement of not more than 100 words, to state your inspiration and why the techniques were used and print this separately to be sent as a cover letter.
  • Each entry is limited to the size that can be mailed by the Post Office by Recorded or Special Delivery. You can also send your entries via courier. There should be no breakable materials e.g. glass.
  • Overseas entries please note - when sending parcels ensure that you state that the contents have 'NO COMMERCIAL VALUE' adding a nominal value of $2.00 (USD) in any customs declarations.
  • You must specify how you'd like your work to be returned (either by courier or by collection)

Return of entry (after the Prioze giving)

1. Courier
Work can be sent back to students via courier. Standard charges as follows:
- UK: £10 (GBP)
- Overseas: £20 (GBP)
You must provide us with your debit/credit card details in order for us to return your work.
2. Collection
Work can also be collected from Hand & Lock office within two months from the date of judging.
Opening times are 9:00am to 5:30pm, Monday to Friday.


Return of entry (winners)

The winners' (1st, 2nd, 3rd, and Commendation) entries will be held by Hand & Lock for up to one year from date of entry and may be exhibited at our sole discretion. Returns are to be arranged after this date.

Insurance

Entrants are advised to insure their own entries.

Disclaimer

Secure labelling of all work with the required details is the responsibility of the submitting artist. We will handle all entries with the utmost care, however we cannot be responsible for items that are lost, stolen or damaged whilst in transit, on exhibit, or whilst in possession of Hand & Lock.

Final Judging

  • Final Judging will take place in September 2009.
  • The Judges are representatives from the sponsors and organisers of the prize;

    o Madeira UK Ltd
    o Twisted Thread
    o Swarovski Crystallized Elements™

  • All Judges will sign those entries judged.
  • Points will be awarded as defined in judging guidelines.
  • The highest and lowest marks will be deleted to ensure evenness of marking.
  • The prize winner will be decided by the Judges and in the absence of agreement, by the Chairman of the Judges, whose decision shall be final.

Judging Criteria

  • Interpretation of the brief and overall impact - 50
  • Design development - 15
  • Technique - 10
  • Materials - 10
  • Presentation - 10
  • Commercial viability - 5

Winners

  • The First, Second and Third place winners will be notified by telephone or email in September 2009.
  • The winners' work will be published on the Hand & Lock website.
  • The prizes will be awarded in November 2009.
  • Winners will provide a biography and photograph of themselves for use in publicity and promotion.
  • Hand & Lock reserves the right to use photographs of all entries in promotion and advertising.
  • The intellectual property rights in the works will rest in Hand & Lock.
  • Prize winners shall make themselves available for publicity and promotion. Expenses only to be paid, there will be no appearance fees paid.
  • The prizes shall be subject to variation/cancellation, without notice by Hand & Lock
